Admin

To login as an admin in the enterprise edition following is the url where admin has to enter the admin name and password.

1.Dashboard

Dashboard is the landing page for the admin version where admin will have snap shot of the Users, Workspace, Files share, Downloads, Uploads and Moves.

Admin can see graphs for Logins, Top 5 Downloads,File Shares, Devices, Top 5 Uploads, Migration.

 

2.Users

Users page will have the list of users present in that particular enterprise domain. Admin can search users by following the steps given below:

 

2.1.Search & Invite Users

  • Enter the email id in the search bar.

 

Admin can invite a new user by following the steps given below:

  • Click on the select button and select invite option .

 

2.2. Activities of User

Admin can see the name of the user activity with the timestamp and the I.P. address of the system

  • Click on the arrow before the user name .
  • User activities will be displayed with the time and I.P. address.

 

2.3. Enable & Disable of User

Admin can enable or disable a user by clicking on the toggle button. The Admin will receive a notification when this is done successfully.

 

2.4. Edit User

Admin can edit the name of the user by clicking on the edit button. Application will display a pop-up screen where user can edit the first name or last name of the user.

There is also provision to make the user inactive in this pop-up screen. Admin can make the user either as subscriber or admin by selecting the radio button .

  • Click on the edit button.
  • Make required changes and click on the save button.

 

2.5. Remove User

Admin can remove the user by clicking on the x button. Application will display a pop-up screen where admin can remove the user.

 

2.6. Groups

Admin can create groups and invite a list of users to the group. Admin can see the list of his groups where admin is either subscriber or owner of the group.

  • Enter the name and click on select button and select Create option from the drop down.

 

  • To search group enter the name in the search bar and click on the search option from the drop down.

 

2.6.1. Cloud Configuration

Admin will configure the clouds to the created groups. When user clicks on the cloud icon application will display the list of clouds that are available to configure.

  • Select the cloud to configure
  • Click on the save button to apply the changes

 

2.6.2. Remove Group

Admin can remove the user by clicking on the x button. Application will display a pop-up screen where admin can remove the user.

 

2.6.3. Edit Group

Admin has provision to edit the group by clicking on the edit icon. Application will display the edit pop up screen which contains the list of subscribers and admins for that group.

Admin can make any user as group owner or subscriber by clicking on the arrows available on the pop up screen. At least one owner should be there for each group .

  • Click on the edit icon
  • Select the user and click on the arrows to make user either admin or subscriber
  • Enter the user email id to invite an user

 

3.Clouds

Clouds page contains all the clouds that are available in the application. By default all the clouds will be in the selected mode. Admin can unselect the clouds which are not required within that enterprise domain.

Admin can also restrict the cloud addition feature to a particular domain like Gmail, Yahoo etc. Users will be able to add only the clouds which are created with the entered domain.

  • Select the clouds from the list .
  • Click on save button to apply the changes .

 

4. Audit

In the audit page admin can see the recent activities performed by the users in the enterprise. Admin can see the name of the activity, email id of the user and time of the activity performed with the I.P. address of the user. The Admin can also search for the activities of a single User.

 

4.1. Files Shared

This page contains all the list of files that are shared between the users in the enterprise. Admin can also see the owner and collaborators of the file share. .

Admin can control the file share – changing permissions, enabling/disabling the file share and adding a collaborator to the existing file share.

  • Click on the arrow button to see the collaborator and owner of the file.
  • Click on delete button to delete the share.

 

4.2. Workspace

Workspaces page will contain all the list of workspaces created and shared between the users of an enterprise. Similar to the file shares admin can change the permissions of the workspace and can also delete existing collaborators.

 

4.3. Downloads

Download page will have the list of all the files downloaded by the users of the enterprise domain. This also contains the file name, owner name, cloud name, file size and the timestamp when the file was downloaded.

Application will also display the IP address and the name of the browser used by the user. Admin can see these details by clicking on the arrow button before the file name

 

4.4. Uploads

Uploads page will have the list of all the files uploaded by the users of the enterprise domain. Like the downloads page, upload will also contains details like file name, owner of the file name, cloud name, file size, time stamp of the file upload.

4.5. Moves

Move page will contain the list of move transactions initiated by the users in the enterprise. This page will display details like file name, owner of the file name and status of the move.

Admin can also see the details of the move like the source cloud and destination cloud and the size of the files. Admin can check the latest status of the move by clicking on the Refresh Status button.

Application will also display the From Cloud, To Cloud, File Size and Created On of the file move. Admin can see these details by clicking on the arrow button before the file name

 

5. Security

Admin will perfrom the security operations to the users in the enterpise .

 

5.1. Encryption Clouds

This page will contain the list of the clouds which are eligible for the encryption. Admin has to select the clouds to enable the encryption (as per policies within that enterprise). When Admin wants to disable encryption for a particular cloud, admin has to unselect that cloud.

 

5.2. Devices

Devices page contains the users and list of the devices used by individual users to access their CloudFuze account � Browsers, Mobile Devices or Desktop.

 

5.2.1. Device Revoke

To safeguard the data of an organization in the event of a mobile being lost/misplaced/misused the admin can revoke the mobile device used by a user. When admin clicks on the revoke button the user will be signed out from the application, CloudFuze data on that device will be wiped out and that user’s account will be deactivated. No personal data on the user’s mobile device is touched.

 

5.3. License Management

This will notify the admin about the expiry date of the license key. It will inform the admin 10 days prior to the expiry date. The Admin has to contact CloudFuze Support for License Renewal.

When the admin enters the license key, the enterprise’s License will be renewed for the set time period.

 

5.4. SMS Configuration

User will receive SMS to the resgistered mobile number for the following actions.

 

  • When user changes password, SMS will be sent.
  • When a file is shared by the owner collaborator will receive SMS.
  • When owner adds a new collaborator to the existing share, collaborator will receive SMS.
  • When owner unshared the file collaborator will receive SMS.
  • When a workspace is shared by the owner collaborator will receive SMS.
  • When owner adds a new collaborator to the existing workspace collaborator will receive SMS.
  • When file is added to the workspace collaborators will receive SMS.
  • When a comment is added to the file in workspace SMS will be sent to the collaborators.
  • When workspace is renamed SMS will be sent to the collaborators.
  • When workspace is deleted SMS will be sent to the collaborators.
  • When user Upload file of size is greater than 50 MB user will receive the SMS.
  • When admin invites new user SMS will be sent to the Admin.
  • When admin deactivate an user SMS will be sent to the Admin.
  • When admin activate an deactivated user SMS will be sent to the Admin.
  • When admin deletes the user SMS will be sent to the Admin(s).
  • When admin configured the cloud(s) SMS will be sent to the Admin(s).
  • When any user uploads a file of size is greater than 50 MB SMS will be sent to the Admin(s).
  • When users downloads of files size is greater than 10 MB SMS will be sent to the Admin(s).
